Apply Online

Found a property you like? Find the listing on our website and hit the 'apply online' button. We review applications as they come in - you'll normally hear back from us within one business day to discuss your note of interest.

You won't be competing with a room full of other applicants or pressured into a decision on the spot. We look at each application properly before we come back to you.

You'll know where you stand quickly - no chasing us for updates unnecessarily.

Viewing & Reservation Deposit

Once we've considered your note of interest, we'll be in touch to arrange an in-person viewing. Every viewing is individual - you'll have the property to yourself, with time to look properly and ask questions without pressure.

If you'd like to proceed after the viewing, we'll ask for a £300 reservation deposit from one applicant. You'll receive a receipt and a link to start your referencing. The reservation deposit is deducted from your final balance before move-in - and if you change your mind after paying, it comes straight back to you.

No risk. The reservation deposit secures your place in the process - and it's fully refundable if you decide not to proceed.

Referencing

Referencing is handled through Vouch - a straightforward online process you can complete from your phone. You'll submit your ID and affordability evidence by sending photos directly through the app. No printing, no scanning, no unnecessary back and forth.

Vouch normally turns referencing around quickly - a day or two in most cases. As soon as we have the results, we'll speak to your landlord and come back to you with a decision. You'll always know where things stand - we won't leave you wondering.

If you have a guarantor, they'll be asked to complete a separate referencing process through Vouch at the same time.

Sign Your Tenancy Agreement

Shortly before your move-in date, we'll send your tenancy agreement for digital signing. Every tenant named on the agreement will be invited to sign, along with any guarantors. Once everyone has signed, Western Lettings will sign on behalf of your landlord and a copy is sent to each tenant.

Your agreement is a Private Residential Tenancy (PRT) - the standard tenancy agreement in Scotland. We'll also provide easy-read notes that explain the key terms in plain language, so you know exactly what you're signing.

Everything is signed digitally, at a time that suits you. No office visits needed or paperwork to post.

Settle the Balance

When you paid your reservation deposit, you'll have received a receipt showing the balance due before move-in. This covers the remaining rent and your security deposit.

The security deposit is normally one month's rent plus £200. If you've been approved to keep a pet, there's an additional £200 pet levy to pay. The maximum deposit permitted under Scottish legislation is two months' rent - we keep ours below that level.

The full balance must arrive as cleared funds in our client account at least one business day before your move-in date. We'll remind you of the deadline and the payment details in good time - nothing will catch you off guard.

Move In

Before your move-in date, we'll visit your new home to take meter readings and make sure everything is in order - no surprises waiting for you on the day.

We'll notify the utility providers of the meter readings and let the council tax office know you're moving in. That's all handled before you collect your keys.

Shortly before move-in, we'll share a cloud storage folder with everything you need:

  • PRT tenancy agreement and easy-read notes
  • Full property inventory
  • Gas safety certificate
  • Electrical Installation Condition Report (EICR)
  • All other safety certificates for your property
  • Condensation factsheet
  • Tenant information sheet
  • Client money protection certificate

The property inventory is provided separately via the Inventory Hive app, so you can review it and flag anything that needs noting from day one.

On the day itself, you collect your keys from our office. Everything else is already done.

You move into a property that's been checked, documented and prepared - with every certificate in place and utilities already notified.

Welcome Aboard

Once you're in, your dedicated property manager is your single point of contact for everything. They know your property - they've been there, they know its history, and when you call you'll get straight through to them or their backup. You won't be passed around.

We'll send you a link to Fixflo, our maintenance app. If anything needs attention, log it from your phone and we'll take it from there. We use qualified, insured tradespeople and we'll keep you updated on progress - no chasing required.

Within the first six to ten weeks, we'll arrange a courtesy visit. Not because we expect anything to be wrong, but to make sure you're settled and comfortable, and to catch anything early before it becomes a problem.

After that, we visit every property we manage at regular intervals throughout the tenancy. You'll always receive advance notice before we come. Anything that needs attention gets flagged - to you and to your landlord - before it has a chance to escalate.
